Davis Senior High School Brunelle Performing Arts Center - 315 W. 14th Street, Davis
$20 minimum donation at the door (includes concert admission and a signed CD)
I think it would be great to have the singer that Bill mentions, to do a Billie Holiday tune. And if there is another soloist or small ensemble as well? It would be nice to intersperse these throughout the program. I'll wait on the concert program details until we confirm this. But I think that we should have an intermission, for concession and CD sales. It will be a short program - c. 35 minutes each half.
It would also be really nice to have a quartet or other ensemble in the lobby.
My publicist is asking who is the marketing contact for the event onsite? Can we designate someone to be her liaison?

Printing of the program depending on how elaborate it is can be done on campus or for nicer paper at the district office.
Can send us the program order (Billie Holiday sounds really fun!)so we can see if there is intermission for concession needs? If no admission, then i think we should leave cookies and drinks out of the mix. We all have parent volunteers that can work the lobby no problem.
We could have a quartet play as people enter in the lobby or on stage prior to the start of your concert?
Kathy can weigh in on staging needs.
Bill will need to answer to the Jazz Choir question.

My thoughts:
* I will get a PR release to you by tomorrow
* Staffing needs from my end would be:
* Piano tuned
* Lobby volunteers (to sell CDs and general seating assistance, whatever)
* Stage lighting, basic recital setup
* Program printing - I can provide design
BUT - I am also wondering if it might be nice to feature some DHS students on the program as well, specifically with some connection to the Billie Holiday tribute theme. Jazz Choir?? Do you have any ideas/thoughts about this? We would want to make a decision about this before moving ahead with PR etc.

I am bringing everyone back to the table now that the donation amount and CD use has been agreed on $20 minimum donation plus the CD, CDs on sale in addition for $15 ($8 of each CD and $8 of each $20 donation goes to Lara for CD cost).
Next thing to consider is what do you need from us? Lobby volunteers, program design, stage crew support, PR? We have 5 different groups that can offer support as a department we want to all participate in supporting you and the needs of the concert. I saw an email you sent with a PR statement attached. I cannot find it anywhere, can you put together a PR release for this March 31st date specifically and send to all of us so we can post to all of our music students and the entire DHS campus? You also mentioned you had a PR support group that could help us what do they offer in way of concert support?
Lastly, what are your staging needs for Kathy?

Lara we just had a department meeting and discussed the best way deal with tickets sales for the March 31st performance. We think calling it a $20 donation is the best way to go. With the $20 donation you get your CD and entrance to the concert. Donations above $20 would be greatly appreciated. We would also sell your CD for $15 in the lobby.
If you see the numbers below you could make $1,600 just on minimum donations of $20 if 200 people show up on a Tue night. The department was not willing to purchase CDS up front as you suggested. We think the way I have described makes for better PR for you and makes people feel like they got a gift for donating.

Lara as soon as we have these confirmations we should be able to start the PR process, I am sure Jeff Hudson will be supportive given the recent donation by John and all of your efforts to support the DHS Music Program. Lara we also need a list of support needs from you so we can organize our parent volunteers however they are needed. We had discussed making it a free event with donations accepted in the lobby which would go to support the music department which we would use to cover the costs of moving the piano and all the new accessories. Can you explain how you’d like the sales of your newly released CD to work? Do we want to give it to people who donate over a certain amount? Do we want to make a suggested minimum donation and include the CD?

I'd really rather do March 31. Do they feel confident that they have time to promote? I have lots of help too, but want to make sure that DHS is committed as well. If we wait until Sept I don't have the same PR support from record label.
