From jdebeler at ucdavis.edu Mon Mar 4 08:32:04 2013 From: jdebeler at ucdavis.edu (John Ebeler) Date: Mon, 4 Mar 2013 08:32:04 -0800 Subject: [Dhsbb-jazz] Coconut Grove help needed Message-ID: <201303041632.r24GW4Ur019054@gmweb2.ucdavis.edu> Hi everyone, We received emails this weekend from the volunteer coordinators for Coconut Grove appealing for some help, and we are now turning to you. Coconut Grove is scheduled for this Saturday evening, March 9. We currently have seating available for approximately 60 more dinner reservations. Last year???s meal elicited all positive reviews, so this year???s food will be the same and will again be generously catered by Dos Coyotes. If your Saturday evening is still free, please consider coming out to support the high school band program and enjoy an evening of outstanding food and music. Several local youth jazz bands will provide entertainment, and the evening will culminate with a performance by the award-winning DHS Jazz Band. We will contact Dos Coyotes on Wednesday to give them a final number for food preparation, so if you would like to enjoy the meal please let us know by then. Reservation forms/contact information can be downloaded at the DHS Band Boosters website (either www.dhsbandboosters.com or http://groups.dcn.org/dhsbandboosters)??? look in the top right corner of the page. If you???re concerned about the postal service delivering your reservation on time, you can drop it off in the band room; I will check for any last-minute forms on Wednesday. The other component to this plea revolves around the fact that we are an all-volunteer organization: the volunteer list to help with setup, cleanup, and jobs at Coconut Grove still has many blank lines. If you can help with setup on Friday evening or with any of the several tasks that need to be done on Saturday, please visit http://www.signupgenius.com/go/10C0B4FA8AD2AA57- coconut to sign up. Quite simply, we cannot make any of our events happen without volunteer support, and Coconut Grove is no different. Please come out and do what you can to help make this event a success. If you???re anything like me, it will likely turn out to be the best part of your day ???the volunteers who show up are wonderful people, and since students are also helping on Friday and Saturday we get to spend more time with our kids. This is one of the band???s most important fundraisers of the year. Davis residents in general, and band parents and friends in particular, have annually provided generous support to keep music in our classrooms. We are asking for your help again this year to keep our high school band program one of the strongest in the region and make this year???s experience positive for our students. Thank you for all you???ve done for Tom and the students. We hope to see you Friday and Saturday. Please take the time to read what???s happening, especially the financial information???trip fundraising is falling short. The total cost for everything the trip committee had proposed including on the trip (hotels, buses, Disney passes, some meals, snacks, drinks, T-shirts, etc.) is now estimated at a little more than $60,000. The core requirements for this trip are the hotel rooms, buses, and Disney passes, but we could scale back or eliminate some of the other items that we had been planning to include. Several people have asked how much the total amount breaks down to for each traveller (some people called it a ???fair share??? amount). Based upon the number of travelers and the total estimated trip costs, the original figure of $450 per person is still a reasonable estimate. Students and chaperones will need to take cash on the trip to pay for at least some meals and all discretionary expenses (souvenirs, extra snacks, etc.). The amount of cash they will need with them depends upon how many of the extras can be provided by the Band Boosters, which in turn depends upon how much we raise via parent trip contributions and other fundraisers like Coconut Grove. Where are we in that fund raising effort? We need a little more than $60,000 for everything that has been proposed. We have received approximately $31,000 in trip contributions. For any people who have not yet mailed in a contribution, please take that step now. If you are making installment payments for a pledged contribution, please send your final installment now. A few installment contributors have asked me to remind them how much they have donated for the trip up to now. Each person who pledged to make installment payments will receive an email summarizing the trip contributions we had received from them through the end of February. Those messages will be going out over the next few days and should all be out by the end of the weekend. Thanks for reading through to the end and giving this your consideration. John and Sue Ebeler p.s. I have also been asked what we do on the band trip. A brief summary: ??? Thursday, April 11, about 135 students and 17 chaperones ride chartered buses from DHS to Anaheim. ??? Friday, April 12 we visit the UCLA campus where the faculty will lead music clinics for our students. ??? April 13 and 14 will be spent at Disney venues, including free time in the Disney parks, playing concerts at Disneyland, and working/learning with Disney professionals in their performing arts studio. ??? Monday, April 15 we return to DHS. Mr. Slabaugh, Anula Danilowicz-Drown and Amy Levin, along with the Jr. High Boosters and directors have been planning a great day for our students. Students will be helping with a lot of the coordination activities that take place on the day of the Festival. We have made arrangements with Jamba Juice and The Hot Dogger to sell food throughout the day (a portion of the proceeds from the food sales will go to the band program). So, there are only a few things that we need DHS Band parents' assistance with: (1) We will provide lunch for the directors and adjudicators. The Junior High Boosters are each contributing a portion of the meal and DHS has been asked to provide bread for the lunch. So, we need one volunteer to bring bread for 5 people for lunch on Saturday March 23. (2) We could use one or more parent photographers to take group pictures of each of the bands through the day. We would like to post the pictures on the web site for families to download. If you can donate bread for the adjudicators/directors' lunch or help with photographing the bands, please let Anula and/or me know as soon as possible. While many students have kept up with a steady and predictable accumulation of points, there are always those who need to complete their paperwork, submit points already earned, earn more points, etc... in order to earn the grade they desire. Some important notes I announced on Monday and posted on the board in PA3 are as follows. 1. Please double check the tally sheet and make sure an accurate accounting of your submitted points are recorded on this sheet. Speak immediately with Mr. Slabaugh if you have any questions or concerns. Mistakes have been discovered (Hey,...I'm human!) and I need to clear up these issues before submitting grades. Clearing up grades after submission is difficult for all parties involved! 2. All points earned prior to March 22, 2013 MUST be submitted no later than 4:00pm on this day to be recorded for the 3rd academic quarter. Late points will not be accepted. 3. Points earned between March 22nd and March 29th (the final day of the 3rd quarter) must be submitted and received by me no later than 4:00pm on Friday, March 29th in order to be counted for the third quarter grade. Late points will not be accepted. 4. For those students interested in earning additional points, we are hosting an adjudication concert on Saturday, March 23rd in the DHS iPab Theater. As DHS students will be performing in this event, they will also have an opportunity to stay, listen to another ensemble perform, and complete concert attendance reports (refer to the syllabus for more information) to earn additional credit towards their grade. A total of three (3) concert reports may be completed per quarter for a maximum of 110 points! The schedule is as follows: 9:00am to 10:00am - Harper 7th grade band 10:00am to 11:00am - DEH 7th grade band 11:00am to 12:00pm - DHS Concert Band. Call Time is 10:00am in room PA3 in Concert Black attire. 12:00pm to 1:00pm - Lunch Break 1:00pm to 2:00pm - DHS Symphonic Band. Call Time is 12:00pm in room PA3 in Concert Black attire. 2:00pm to 3:00pm - Harper 8/9 grade band 3:00pm to 4:00pm - DEH 8/9 grade band 5. As we are also producing the aforementioned event, we will have the need for a small amount of student workers. Sign-up sheets will be available by this coming Friday. Yes,...points may be earned for working in this event! 6. On Wednesday evening, March 27th, from 8:00pm to 9:30pm we will rehearse music we are performing on our Spring Tour. All band students, regardless of their planned attendance on tour, are invited to attend this rehearsal! This is a wonderful opportunity to sight read some great music and earn 100 points towards your 3rd quarter grade!! 7. I explained to all students that they need to check on their attendance record and clear up any unexcused absences or tardies. Each unexcused absence lowers their grade by -30 points and each unexcused tardy by -20 points. If there are questions regarding attendance, please review your student's attendance record via Zangle and contact the attendance office as soon as possible. Many thanks for your help!
