If at all possible, we need the parents who are not going, to help with the carpooling of everyone to and from the airport. We need rides for 31 people plus luggage. Students, chaperones and drivers will meet at DHS on Tuesday April 10, 2012, at 11:30 am, and plan to leave for the airport at 11:45 sharp! Groups will be dropped off at the United Airlines departure site and you will not need to park. Please indicate if you can drive at this time and how many passengers with luggage you can take. We will be arriving back into Sacramento on Sunday April 15, 2012, at 8:34 pm, and will again need your help to get everyone home. Plan to meet at the airport around 8:30 pm, and drive students to their homes. It usually works best to park and meet everyone in the luggage area, so we can make sure that everyone has a ride. Again, please indicate if you can drive at this time and how many passengers with luggage you can take. The students are grouped by their hotel rooming groups. They will stay with this chaperone through the airport check in process and plane transfer in Chicago. Note some students may have a suitcase to check if they are carrying on their instrument and a backpack or something. Students can pay the fee and check a bag at the airport. If they have a debit card that works well as I'm not sure the ticket agents can accept cash. If need be, they can likely have an adult put it on their card and use their cash to pay the chaperone. Remember, baggage fees are for one way only, so if you need to check a suitcase both directions it will be a total of $50 to be paid at the time of check in ($25 for each direction). Those who have already given me the information (dimensions & weight) of their instruments are the ones we are talking about right now. Please make sure that there is sufficient packing material (ie: towels, bubble wrap, clothes, etc) so that the instruments do not shift around in the case when closed. Also please make sure that the cases are closed securely. Some cases may need to have a packing strap put around them to ensure that they don?t open when handled. On Thursday, I need 2 additional people with Vans or a Pick-up truck to help move materials to the airport (around 1:30pm). I will be one of them: John (1), ______(2), _______(3). If you can help, please let me know. Luggage: You are allowed two Carry On items: One personal items (back pack, purse, computer bag, etc) and one hand bag or small suitcase. If you are carrying on an instrument then you are down to one other item, and you may need to check a suitcase. Each person is responsible for any checked luggage (see info below). Please make sure that it is clearly labeled with a luggage tag. Checking baggage: You can check a bag when you we get to the airport; costs are noted below. I still have to work this out, but possibly meet up with your chaperone, you can bring cash and pay the chaperone, and they can use their credit card. I don?t believe we can use cash there at the airport checking counter. We?ll get that figured out in the next day or so. Things to know about your carry-on bags (from the United website) [Liquids and Gels] If you are traveling with any liquid, gel or aerosol items, here are a few things you should remember: * Customers departing from U.S. airports on any flight may bring carry-on bags through security and aboard the aircraft with trial-size toiletries (3.4 ounces or less) which can be purchased at any drug store. * Toiletries must fit comfortably in one, quart-size (7.5-inch x 8-inch), clear plastic zip-top bag. * The zip-top bag may need to be presented separately at airport security so make sure it is easily accessible when you approach the screening area. After the Jazz Band and Jazz Choir rehearsed together around noon today, we packed up all the larger instruments and items that are shipping via cargo. Thanks to John Miller and John Ebeler for helping John Horn ("Los Tres Juans" :) ) drive all the stuff to the airport. We have 13 items that are on a flight leaving at 4:35 pm this afternoon. (in 3 minutes).... And will arrive in New Orleans tonight at 00:40 (12:40 am tomorrow morning). It turns out if I sent the items standard freight, I could save some money. No guarantee as to when it would arrive. Given that we needed to have everything there by Tuesday, it would cost more to guarantee it. So "Rick", our buddy at Southwest Cargo, looked up the flight schedule in the system, booked our stuff on the flight about to go out, and for less $$, it will get there sooner. Kids can carry glucagon, and other diabetic supplies, epi pens, and also inhalers, but a back up of these should be with Mr. Lange as well. ID: All students will need to bring an official government issued Photo ID if over 18 (driver's license, DMV ID card, passport) if Under 18 then any of these will do, or a student body card works too. Food: It may be hard to get food during the brief lay over in Chicago. Bring a bag dinner for the airplane . Food can be purchased in flight but they don't take cash, so a debit or credit card would be needed. Remember airplane food can't be liquid or soft before security. Kids can purchase drinks or any foods after security before boarding the plane. Shoes: We will do a lot of walking on this trip! We are 1.3 miles from the French Quarter and will be making trips in and out of there sometimes multiple times each day. There is a tram system to help with transport, but we may find it more practical to walk much of the time. COMFORTABLE walking shoes are a must! The band room will NOT be open on Sat. so everyone needs to have their instrument and music with them. Make arrangements to collect instruments immediately after school on Friday. The kids will march in the parade which finishes up at A and 3rd streets by Toomey Field. If you plan to meet your student afterwards this is the corner to wait for them. Arrival time at this corner is uncertain because we don't yet know our location in the parade, but likely between 11 and 12 p.m. Remember, there is no storage for cases, and we will not be returning to lot 41 after the parade as a group, so when they arrive at Lot 41, they need to have only their instrument and music with them. We are trying to coordinate a cooler with water to be pulled along with the group so that the kids have access to water during the parade as it was quite warm last year. We could use one or 2 additional adult chaperones to accompany the group through the parade and hand out water as needed. Please come to lot 41 if you want to help. Driving from either Sacramento or San Francisco on Interstate 80, take the Hwy. 113 exit north towards Woodland. Exit 113 on Hutchison Drive and proceed east to the first stop light which is La Rue Road. Continue on Hutchison Drive one block past La Rue Road. The concert will be Monday May 7 at 7:30 p.m. in the Brunelle Performing Arts Theater, on the Davis High School campus at 315 W. 14th Street. The Symphonic Band will perform several numbers, followed by the full combined band, which includes members of the Symphonic Band, Concert Band and Jazz Band. The concert will be followed by a reception in the adjacent Veteran's Memorial Center, in honor of band director Fred Lange, who is retiring at the end of this school year after many years at the helm of the award-winning band program at the high school. The concert and reception are offered free of charge and the public is invited to enjoy the music of the bands and to say thank you to Lange for his many contributions to music education at the high school as well as in the elementary music program.
