Trip dates are: Thursday May 19th to Tuesday May 24th, 2011. Now is the time to be sure that you have the correct paperwork in process (at least) or done (hopefully) and sent to Kathryn Shickman for her files. Email Kathryn if you have any questions, _kshickman at sbcglobal.net_ (mailto:kshickman at sbcglobal.net) . You can check our band booster web site to determine just what documentation is needed. Additionally, if your child will be traveling with a passport other than from the US, please check to see if they will also need a student visa, and be sure to get any additional documents needed together. I've included a link below which may help, but the link is also listed on our web site. _http://www.cbsa.gc.ca/security-securite/admiss-eng.html#s1_ (http://www.cbsa.gc.ca/security-securite/admiss-eng.html#s1) . The kids signed up for flight groups in class last week, and our tickets have now been processed. The good news is that no one is walking to Seattle! We got a very good price on our tickets - the current price is already $60 higher than the price we paid when I originally booked these seats back in September. The interesting news is that due to our large group size, and the shuffling of all of our original flights when Alaska changed their schedules, we are traveling in 3 different groups for our trip. We will post flight group lists later, but hopefully your child can remember if they signed up in group 1, 2, or 3. Below are the details and current flight numbers for the 3 different groups. Since this is only February, there is a distinct chance Alaska/Horizon Air may shuffle flight schedules again, and the info listed here could change before May. Current info for our 3 groups is listed below. Specific trip check in procedures are still being developed, so student trip check in times may change, but a general time frame for meeting at the HS on departure day is listed by each group. The kids will gather at the high school then travel by assigned carpools to Sac Airport for drop off and check in for their flights. Note that dress blacks and instruments will be checked in on Wed. May 18th so they can be loaded on the truck leaving before us, that will be driving from DHS to Victoria . Remember to check our web page and join the new Face Book page for current band trip information at any time. Katie Horn Trip Coordinator THURSDAY MAY 19 Group 1 (will meet at DHS at least by 2:15 pm) Departure flights: Horizon Air QX2618 Sacramento to Portland (depart Sac 4:45 pm, arrive Portland 6:25 pm) Horizon Air QX2030 Portland to Seattle (depart Portland 7:00 pm, arrive Seattle 7:50 pm) Return Flight: Alaska Air: A5372 Seattle to Sacramento (departs Seattle 7:55 pm, arrives Sac 9:35 pm) Group 2 (will meet at DHS at least by 3:30 pm) Departure flight: Alaska flight A5363 Sacramento to Seattle (departs Sac 6:10 pm, arrive Seattle 7:58 pm) Return Flights: Horizon Air QX2047 Seattle to Portland (departs Seattle 7 pm, arrives Portland 7:50 pm) Horizon Air QX2581 Portland to Sacramento (departs Portland 8:55 pm, arrives Sac 10:30 pm) Group 3 (will meet at DHS at least by 3:30 pm) Departure flight: Alaska flight A5363 Sacramento to Seattle (departs Sac 6:10 pm, arrive Seattle 7:58 pm) Return Flight: Alaska Air: A5372 Seattle to Sacramento (departs Portland 8:55 pm, arrives Sac 10:30 pm) -------------- next part -------------- An HTML attachment was scrubbed... Please join me and our leads, the folks in charge of the various Coconut Grove activities and planning, as we will be discussing each aspect of this very large and worthy event. For this event, reservations are first come first served, but they will only accept a reservation when you email a rooming list to the hotel. No changes to the list are accepted after they receive it. SO, this means that in order to get a reservation, we must submit a list of who will room with who. We have 20 boys in the band = 5 rooms. And 5 girls in the band = either 2 rooms or 1 room + a roll away bed. Mr. Lange can take care of room assignments at school for the students. Parents interested in chaperoning this event should reply here if you want to be part of the official rooming list sent to the hotel as part of our reservation. Cost is $151/ room (not including tax or any other hotel fees...) Once we have names to create a rooming list for both chaperones and students, I can submit an official reservation request. Please note that your group name has been sent to the staff at our host hotel, the Portola Hotel and Spa, but that rooms there are available on a first come, first serve basis. Good News - it looks like we can have all those rooms we requested as part of their group rate (we have 7 kid rooms and 13 adult rooms!!) Bad News - the group price is a little different than what I, at least, initially interpreted... The rates differ depending on the number of people in the room. SO, the actual rates are pasted below: The group rate for single/double occupancy is $151.00, tripe occupancy rate $171.00 and Quad occupancy rate $191.00. If you want to keep your room in this hotel for the 2 nights, Fri April 1 and Sat April 2, then do nothing. You have a reservation and all is set. If you want to change your mind and find your own lodging or whatnot, then email me and I will send a revision in our room request to the hotel. As a reminder: We are at the Portola Hotel and Spa. Here is the website if you want to check it out. This is the hotel where the event is held, but there are others nearby within walking distance I think, and some just a short drive away too. _www.portolahotel.com_ (http://www.portolahotel.com) Remember - only respond to this email if you want to cancel your status with our group that is staying at the Portola Hotel. Please disregard this info if you are NOT going to Monterey with the band. For all parents that requested a room with the group at the Portola Hotel we have been given all the rooms we have requested. That would be 7 rooms for the students, and 13 for the parents!! Check in is Fri April 1 and check out is Sun. April 3. The student costs will be handled separately, and info on that will be sent in a separate email once all the details are determined. For the parents coming along however we do have the info on the hotel rooms. We need to pay for these rooms as one group in the next couple of weeks. We are hoping to collect parent payments now so that our treasurer has time to do all the accounting before the payment is due. The room rate varies depending on how many people occupy the room and that is why they requested names and a rooming list. Prices are listed below and include the 2 nights at the hotel, and the hotel tax, CA Tourism Assessment and the CA County Assessment. (!) Note there is an additional parking fee if you want to park onsite that you will pay separately once you check in, and can choose to either self park or have your car valet parked. Please find your amount listed below, and send a check payable to DHS Band Boosters and mail it to: DHS Band Boosters Jazz Band Monterey Trip PO Box 73522 Davis, CA 95617 BE SURE TO NOTE ON YOUR CHECK THIS IS FOR THE PARENT PORTION OF THE JAZZ BAND TRIP! We are collecting regular band trip funds, student jazz trip funds, and it is easy to get things mixed up, so please make it clear on your check what the money is intended for. Thank you! Total cost for: 1 or 2 people = $336 (Ebeler, Rummery, Shickman, Wardrip/Hochman**, Cross, Waterstraat, Boulanger, Young, Miille, Chew, Lavernia) 3 people = $380 (Horn, McCauley, Yamamoto) 4 people = $424 (Theg) ** Wardrip/Hochman - you would owe half that amount each so a total of $168 each. Please also note that we will be providing a simple breakfast for the kids of bagels, fruit, juice etc each morning so they won't have to take the time and expense of finding a restaurant for breakfast. We are not coordinating this for the families however, so plan on getting your own breakfast however you choose to do that. :) Thanks much, Katie Horn -------------- next part -------------- An HTML attachment was scrubbed...
