Your sons and daughters may not have given it to you yet (I am sure this has been at the top of their minds and it will come to you this weekend). However, I would like to point out it requires your signature and is due on Friday (Jan 18). This event has 2 major functions. Of course, it is a fundraiser and money raised will go into your student?s account for our big trip. We ask that you encourage your son or daughter to go out door-to-door or to relatives and ask for pledges. We recommend at least $100 per student. Secondly, and probably more important, this function is a great positive team builder/bonding for our students. Think about the other ways your teenager may spend an all-nighter, and you will get my drift. Volunteer parents will be present all night. In the afternoon (time permitting) we return to the French Quarter Jazz Festival for a few hours before going to the airport. We hope to fit in a visit to the Louisiana State Museum Jazz Collection (http://lsm.crt.state.la.us/collections/jazz.htm). We are also trying to squeeze in a city tour, particularly so students can see the continued devastation and effects from Katrina. OPPORTUNITIES FOR PARENTS TO ATTEND: There have been numerous requests by parents to participate as chaperones, and everyone appreciates the level of your support and interest. As only a few formal chaperones are required by the District on a trip like this, there are already enough people officially acting as chaperones. However, additional parents can join and participate in the trip and their assistance will be much appreciated. Participating parents and cheerleaders are welcome--there IS room for band ?groupies.? Please note that there are pros and cons to being an official chaperone versus a groupie. Chaperones are not receiving any price break for assuming responsibility of the students during these four days, and non-chaperones may actually find better travel fares. Chaperones will be with the students the entire time and for all activities, whereas certain events may not be available to groupies. At this time it appears that all groupies may not be able to attend the haunted tour and swamp tour due to space constraints?but we are checking into this. The number of parents who can attend the UNO workshops also needs to be determined, but we will try to accommodate everyone. Groupie parents will need to make their own travel arrangements. Sam Yang is available to assist, and is familiar with flight and hotel options from having done so much investigation for this trip. There are obvious advantages to staying at La Quinta. Groupie parents are invited to travel on the buses we rent, provided there are enough spaces (which is not anticipated to be a problem) and that groupie parents are on time for each departure (we?re not waiting!). We do request that one non-chaperone parent volunteer to coordinate all other ?groupie? parents. The trip organizers have a full plate coordinating the students. We need one contact person who will interface with all parents who want to be ?groupies,? disseminate information to them and collect money in advance for dinners, any tours/admissions, The Jolly Inn, use of the buses, etc. This person will also be the parent contact during the trip. These two times are Friday and Sunday afternoons when we will be at the French Quarter Jazz Festival. Given that students MUST stay with a chaperone or adult while wandering through the French Quarter, it is particularly helpful if additional parents are present. Student safety is paramount while we are in the French Quarter, and we also want them to hear as much jazz and see as much of New Orleans? unique ambience as possible. There is an awards ceremony at 10:00 PM on Friday, but it is not clear how this relates to the overall competition. Most groups are performing on Saturday, so overall winners will not be announced until then. Call-backs on Saturday will be based on overall scores regardless of division, but we will not be participating in call-backs this year because we will be having Play-a-Thon! The Combo is asked to arrange their own transportation (please be sure to have all forms filled out and carried with you, including carpool forms!). The combo performs at 8:25 AM on Saturday in the "Tent Cafe" (#13 on the map). Combo warm-up, performance and clinic are all to be included within your allocated 25 minutes and will all occur in the Tent Cafe. The combo is requested to play no more than 15 minutes. EQUIPMENT: The Big Band must bring the entire Hi-Hat, stand, cymbals, throne, drum pedal. Guitar players must bring their own amp. There will be no amps or drums in the warm-up rooms for Big Band. Nothing really major, except: 1. Warm-up room is changed to the Choir Room (#9 on the attached map, which is the same map as sent previously), instead of the Gym 2. There will be NO food available Friday evening. You have to go off-site if you want to get something to eat there (see list below). 3. The awards ceremony at 10:00 PM is for those divisions performing on Friday night. See details below. Peter EXCERPTS FROM FOLSOM EMAIL: The Warm up room for the Theater is NOT the GYM on Friday. There will be a basketball game in the gym. Instead, your warm up room is the Choir Room (MU 101) in the music building. This building is to the right of the theatre as you enter from the parking lot. On the campus map the Choir Room is number 9 (nine). All groups on Friday are competing in the Theatre. Your Warm Up time is 25 minutes prior to your performance. You will have a clinic immediately following your performance. There will be a short Awards Ceremony at approx. 10:00 p.m. in the Theatre for Divisions E and F. Our students will be able to help pay for their wonderful band trips, and the DHS band program will have it?s extra funding which helps maintain the excellence we all benefit from, especially our band students.. The Coconut Grove fundraiser this year will feature 4 bands throughout the evening as our guests, family and friends enjoy the exotic drinks of the tropics, delectable desserts (both purchased and homemade) along with Peets coffee and search the silent auction for treasures untold. The students will have the opportunity this week to sign up to help with several aspects of putting this event together including sign making(some art), decorations (some grunt work) and serving our guests throughout the evening. Money is earned for hours worked which will go directly to their individual student accounts to be available for their upcoming trips. We will need parent support for this event in the form of bakers (20), decorators (10) and a kitchen crew (8). Although some parents have signed up, there is urgent need for more parents. Coconut Grove creates many great opportunities to get involved and by getting involved, there comes benefits which go beyond raising money, even beyond words. Please take time now to consider how you might be able to jump in and take on one thing to do in order to successfully and excellently provide an evening that will keep our audience coming back in future years to support the DHS Band Boosters and to have a wonderful time.
