Hi Jazz Band Families-
Pete Hartnett (Alex's Dad) has been hard at work arranging transportation and lodging for the band's trip to the Reno Jazz Festival in April.
Please respond to him ASAP regarding the Amtrak reservations.

Reno Jazz Festival Trip

AMTRAK
Leave Davis Amtrak Station Thursday 10:36 am and arrive Reno Amtrak Station 3:58 pm.
Return trip: Sunday, depart Reno 9:14am and arrive Davis 2:46pm.
Group rate is $44.00 Round Trip for our students and $88.00 for Adults Round Trip.
A 10% deposit is due by 11/21/05. Forty seats are reserved now, 20 adults and 20 students. It is necessary to know as close as possible the number of train travelers before the deposit is due. Reaction from parents at the meeting 11-10-05 indicated 14 adults were very interested in going on the train. It would be very helpful/essential to know how many train riders (students and adults) are planning on going by train. If the total number looks like it will exceed 40, we need to increase the number of seats as quickly as possible.
The Balance is due on 3/13/06. The Balance due will be minus the deposit paid. Then minus the difference between the actual number of passengers from the estimated 40 (or more?) passengers upon which the deposit is based currently. This is also why we need to know the number as quickly as possible, so we can increase the number of reservations if we get a big response. Forty was a guesstimate.
The total cost of 40 Round Trips (20 students, 20 adults) is $2,640.

Lodging at Silver Legacy
16 Rooms are now reserved for 4/27 & 4/28 & 4/29
There are 2 Queen Beds per room. If there are over 2 occupants per room, there is a $10 per person charge (Four persons maximum.) There is a different rate for Thursday night ($75) as opposed to Friday ($149) and Saturday ($149). Room charge is subject to 13.5% tax, and a $3 per room, per night fee.
Including tax and fee, the costs are:
For 2 persons per room, the total cost for 3 nights is $432.36.
per person is $216.18.
For 3 persons per room, the total cost for 3 nights is $466.51.
per person is $155.50.
For 4 persons per room, the total cost for 3 nights is $500.46.
per person is $125.16.
The Hotel will try to group rooms together, but actual room assignment depend on when we check-in. Credit Card imprint is required upon check-in for incidental room charges.
Cancellation requires a 24-hour notice.
List of names is required by Hotel 30 days prior to check-in.
El Dorado Hotel
The costs for the El Dorado are $5 less than the Silver Legacy.
Reservations are presently made for both hotels. Recommend the El Dorado.
We are confirming shuttle bus availability from Downtown Reno to the University of Nevada (UNR). UNR is walking distance from Downtown Reno. The AMTRAK station in Reno is 2 blocks from the Silver Legacy and the El Dorado.
Peter Matlock is getting details on reserving tables at a local restaurant for a group dinner. The Restaurant has a Jazz Club theme. It would be a great time for all the students and chaperones to eat one meal together. Details to follow.
We can also have light breakfasts available in one of the chaperone rooms with fruit, rolls, milk, and juice. Coffee is most likely available in your room, and there is coffee to go in the lobby. This will simplify the mornings and also keep the meal costs down.
Transportation to the Davis AMTRAK Station is up to each family
Perhaps those not taking the train can help drive those who are going to the AMTRAK Station. It has been reported that leaving your car at the AMTRAK Station can be dangerous (there have reports of cars being vandalized.)
With these rates, a student who rides the train and stays for 3 nights with 3 other students would have to pay $169.16. One adult riding the train and staying in a room for 3 nights with another would pay $304.18.
Reno has many other things to do, for those not going to the Festival every moment.
Art museums, Harrahs Car Museum, Arcade, Shopping, etc.
Doreen reports that she has received the brochure/application forms for the 2006 Reno Jazz Festival. She will fill it all out for the Big Band and the Combo entries. She is also getting applications to the students wishing to try out for the All Star ensemble and the Composition competitions.
The entry fees are the same as last year. The cost for the festival would come out to $25/student (includes group entry fee and 3 day festival pass). Parents and family members would also have to buy festival passes ($20 for 3 days or $10 - $14 for daily passes depending on the day). Festival passes admit you to all festival performances during the day and evening, as well as clinics and master-classes.
Tickets for the professional evening concert on Thursday are sold separately at $8 for students and $12 for adults.
Parents who just want to come in to hear the competing groups during the day can purchase daily visitor passes for $7/day. These passes will not admit you to any clinics, master-classes, or evening concerts.
Regarding STAR Testing: Doreen is waiting for a return call from Loyola Vogel (DHS Principal's secretary). She'll find out the STAR schedule and how to go about arranging for make-ups.
The most immediate issue is to get a count for the Amtrak trip.
